This Privacy Policy applies to the website at www.socialistfox.com and to the services Socialist Fox provides, including custom software development, AI solutions and automation, website and web app development, mobile app development, dashboards, CRM systems, internal tools, integrations and related technical services.
Our approach is simple. We only collect information that is reasonably needed, we use it only for the purpose it was shared for, we keep client information confidential and we never sell it.
01 Who We Are and Scope
In this policy, "Socialist Fox", "we", "us" and "our" refer to Socialist Fox. "You" refers to visitors to our website, people who contact us, and the businesses and individuals we work with.
For information we collect through our website and our own business communications, Socialist Fox is responsible for deciding how that information is used. When we process personal data inside a client's systems or on a client's behalf during a project, we act on the client's instructions, and the client remains responsible for that data. In those cases the terms of our written agreement with the client apply.
02 Information We Collect
The information we collect depends on how you interact with us.
Contact information
Your name, email address, phone number, company name, job title, website and anything else you choose to include when you email us, book a call or reach out through our website.
Project information
Business requirements, goals, workflows, documents, designs, technical specifications, content, files, examples, feedback and other details needed to understand, quote for or deliver a project.
Business and operational information
Some projects require us to understand how your business works. This can include internal processes, team structure, customer journeys, sales processes, reporting needs, tools and systems.
Technical and system information
Hosting details, platform information, API documentation, database structures, system logs, bug reports, integration details and, where agreed, access to accounts or systems needed for development or support.
Website usage information
When you visit our website, our hosting provider automatically records basic technical information such as your IP address, browser type, device type, the pages you request and the date and time of your visit. This is standard for operating, securing and troubleshooting a website.
03 How We Collect Information
- Directly from you, when you email us, book a call, take part in meetings, send us documents or work with us on a project.
- Through our contact form and the short checklists on some pages. When you submit one, your message and the details you enter are sent securely through our form provider, Web3Forms, and delivered to our team by email. We do not store form submissions on our website.
- Automatically, through the server logs kept by our hosting provider when you visit the website.
- From services you choose to use, such as our scheduling tool when you book a call, or a client's own systems when we are given access for a project.
04 How We Use Information
We use information for practical business purposes, including to:
- Respond to your enquiry and understand what you need.
- Communicate with you about services, proposals, meetings, timelines and support.
- Prepare estimates, proposals, scopes of work and recommendations.
- Design, develop, test, deliver and maintain the services we have agreed to provide.
- Manage our client relationships, projects, invoicing and business records.
- Operate, secure and improve our website and services.
- Comply with legal, accounting, contractual and security obligations.
We do not use confidential client information for marketing, public case studies, training material, portfolio content or social media without permission.
05 Legal Bases for Processing
If you are in the United Kingdom, we process personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. If you are in the European Economic Area or another region with similar laws, equivalent rules apply. We rely on the following legal bases:
- Contract: to take steps you request before entering into an agreement, and to deliver the services we have agreed to provide.
- Legitimate interests: to respond to enquiries, run and improve our business, keep our website secure and maintain business records, where those interests are not overridden by your rights.
- Consent: where we ask for it, for example before featuring your project publicly. You can withdraw consent at any time.
- Legal obligation: where we must keep or disclose information to comply with the law.
06 Client Project Data and Confidentiality
Clients may share sensitive information with us, such as internal documents, customer or employee data, financial information, reports, business logic, product ideas or confidential plans. We treat all project data as confidential and use it only to deliver the agreed work.
We do not claim ownership of client data, content or materials. Unless agreed otherwise in writing, all client-provided information remains the property of the client.
Non-disclosure agreements
We are happy to sign a Non-Disclosure Agreement before receiving confidential project details. When an NDA is in place, we:
- Limit access to confidential information to the people who need it for the project.
- Do not discuss confidential project details outside the working team.
- Do not publish or share project information without approval.
- Do not use confidential information for any unrelated purpose.
- Continue to respect confidentiality after the project ends, in line with the NDA terms.
Even without a signed NDA, we treat client information with care and do not disclose private project details without permission. If this policy and a signed NDA or written agreement conflict, the signed agreement applies to that project.
Please clearly mark highly sensitive information so it can be handled with the right level of care.
07 Access to Client Systems and Credentials
Some projects need access to websites, hosting accounts, CRMs, databases, APIs, analytics tools, payment systems or other platforms. When they do, we recommend that clients:
- Grant the minimum access needed, using user invitations or role-based permissions instead of owner-level logins.
- Share credentials only through secure methods, such as a password manager or temporary credentials, and never through unsecured channels.
- Remove or update our access when a project ends, unless ongoing support has been agreed.
We are not responsible for unauthorized access caused by weak or reused passwords, compromised client accounts or access shared outside our control.
08 Use of AI Tools
Because we build AI solutions and automation, some projects involve AI models, automation platforms or AI-assisted workflows.
We do not place confidential client data into public AI tools unless it is necessary for the project and the client has approved it, or the data has first been anonymized or otherwise prepared to reduce confidentiality risk. For AI projects, we agree the safest practical approach with the client, which may include dummy data, sample data, anonymized data, private deployments or client-approved systems.
09 Service Providers We Use
We use trusted third-party services to run our website and business. These providers only receive the information they need to perform their service. Examples include:
- Website hosting, which serves this website and keeps standard server logs.
- Web3Forms, which delivers the messages you send through our website forms to our email.
- Calendly, if you choose to book a call with us.
- Email, file sharing, project management, design and development platforms used to communicate with clients and deliver projects.
These providers have their own privacy policies and security practices, which also apply when you use their services. We are not responsible for the practices of platforms we do not own or control.
11 Portfolio, Testimonials and Case Studies
We do not publish a client's private project details without permission. If we would like to feature a project in our portfolio, case studies, testimonials, marketing material or social media, we will either ask for permission first or use a version that does not reveal confidential business information. Clients can ask at any time for their project not to be used publicly.
12 International Data Transfers
We work with clients in different countries, and our service providers may store or process information in countries other than yours. This means your information may be transferred to, and accessed from, countries whose data protection laws differ from those where you live.
Where the law requires it, we take appropriate steps to protect transferred information, such as relying on providers that use recognised safeguards, for example the UK International Data Transfer Agreement or Addendum, or standard contractual clauses. If specific legal requirements apply to your business or country, please tell us before sharing sensitive information so we can agree the right approach.
13 Data Retention
We keep information only for as long as it is reasonably needed for the purpose it was collected, including project delivery, ongoing support, business and accounting records, legal requirements and dispute resolution.
When information is no longer needed, we delete, archive or anonymize it where practical. Information held in backups is removed as those backups are routinely replaced. Clients may ask us to delete project information at any time, and we will do so unless we have a legal or contractual reason to keep it.
14 Data Security
We take reasonable technical and organisational measures to protect information, including access controls, limiting internal sharing, securing our accounts and handling files carefully. Our website is served over an encrypted HTTPS connection.
No method of online communication, storage or transmission is completely secure, so we cannot guarantee absolute security. If we become aware of a security incident affecting your information, we will notify you where required by law.
Clients remain responsible for protecting their own accounts, systems, passwords, user permissions and internal data access.
15 Your Rights and Choices
Depending on where you live, you may have the right to:
- Ask for access to the personal information we hold about you and receive a copy of it.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete your information.
- Ask us to restrict, or object to, certain uses of your information.
- Withdraw any consent you have given, without affecting earlier processing.
- Receive your information in a portable format.
- Lodge a complaint with your data protection authority. In the UK this is the Information Commissioner's Office (ICO), at ico.org.uk. We would appreciate the chance to resolve your concern first, so please contact us.
To make a request, email contact@socialistfox.com. We may need to verify your identity, or your connection to the relevant company or project, before acting on a request. We will respond within the time required by applicable law, and we will not treat you differently for exercising your rights.
17 Third-Party Links
Our website links to other websites and platforms, including our social media profiles and our call booking page. When you follow those links, the privacy policies of those sites apply. We encourage you to read them.
18 Children's Privacy
Our services are intended for businesses and professionals. We do not knowingly collect personal information from children. If we learn that a child has provided personal information without appropriate consent, we will delete it.
19 Changes to This Policy
We may update this Privacy Policy to reflect changes to our services, website, tools, legal requirements or business operations. The updated version will be posted on this page with a new "Last updated" date. If we make significant changes, we will make them clear on this page.
