Property Portfolio
Every managed property is held in one portfolio with its own detailed record.
We built a custom property management system with Buildium integration that gives one property manager a single view of every property, tenant, lease, rent date and open issue across the portfolio.
Built for a property manager looking after several properties and their tenants.
Real estate and property management. Client and project names are kept confidential.
From scattered records to one dashboard
Managing a handful of properties sounds simple until each one has its own tenants, lease terms, rent dates and maintenance problems. Our client was tracking all of it, and the details lived in different places depending on what kind of information it was.
We built a property management system that pulls those details into one dashboard. Properties, tenants, rent, leases and issues sit together, and Buildium is integrated so the new system extends the platform the business already used rather than replacing it.
Every property brought its own set of obligations. Rent fell due on different dates, leases started and ended at different times, and issues came up that needed following through. Keeping track meant checking several sources and relying on memory.
The risk was not one big failure. It was a missed lease end, a late payment noticed too late or an issue that quietly stayed open.
Property information was not held in one place
Linking tenants to the right property took checking
Rent due dates were easy to lose track of
Lease start and end dates needed constant watching
Property issues had no single list to follow up from
No quick view of what needed attention next
The goal was a place where the manager could open the portfolio, pick a property and immediately see who lives there, what is owed, when leases change and what needs fixing. Buildium was already part of the business, so the system had to work alongside it.
Questions we worked through
We designed the system around the portfolio. Each property has its own record with linked tenants, rent and payment tracking, lease dates and issues, and the dashboard rolls everything up so upcoming obligations are visible across all properties at once. The Buildium integration connects the custom system to the existing real estate platform.
Every managed property is held in one portfolio with its own detailed record.
Tenants are stored with a clear link to the property they rent.
Rent due dates and payments are tracked for each tenant and property.
Lease start and end dates and other key dates are recorded so they can be seen ahead of time.
Property issues are logged against the property so they can be followed up.
The system connects to Buildium, extending the existing platform with a custom management layer.
Buildium stays part of the property manager's setup. The custom system adds one place to see the whole portfolio and what needs attention.
The system connects to the Buildium platform the property manager already uses.
Every property, with its tenants, in a single dashboard.
Rent due dates, lease start and end dates and other upcoming dates in one place.
Issues tracked against the property they belong to.
The manager starts with the whole portfolio and drills down only where something needs attention.
The centralised dashboard shows the full portfolio of properties.
The property record opens with its details in one place.
Linked tenants appear alongside their lease start and end dates.
Rent due dates and payment records show what has been paid and what is coming.
Logged property issues show what still needs following up.
Important dates across the portfolio surface before they become urgent.
The manager deals with what matters next, property by property.
The system serves two jobs: day-to-day management, and keeping the records and integration in order.
Views the portfolio, opens a property and sees tenants, leases, rent and issues together, then acts on whatever is coming up next.
Manages the underlying records and the integration so the information the manager relies on stays accurate.
One screen brings the whole portfolio and its upcoming obligations together.
Each property has its own record within the wider portfolio.
Tenant details are stored and linked to the property they occupy.
Rent due dates are tracked so payments are not missed.
Payments are recorded against tenants and properties.
Lease start and end dates are held for every tenancy.
Property issues are logged and kept visible until they are dealt with.
The custom system connects to Buildium, the platform the business already used.
The work itself did not change. How easy it is to stay on top of it did.
Before
After
The manager now runs the portfolio from one place, with the custom system working alongside Buildium rather than competing with it.
