This Privacy Policy explains how we collect, use, protect, and handle information shared with us through our website, contact forms, meetings, proposals, project discussions, and client work.

We only ask for information that is reasonably needed to understand a request, communicate with a client, prepare a proposal, deliver a project, or provide support.

We do not sell client information. We do not use client data for unrelated purposes. We do not share private project information with outside parties unless it is necessary for the work, required by law, or approved by the client.

Our approach is simple: client information should stay confidential, protected, and used only for the purpose it was shared for.

02 Information We May Collect

Depending on how you contact us or work with us, we may collect the following types of information:

Contact Information

This may include your name, email address, phone number, company name, job title, website, and any details you submit through our contact form or email.

Project Information

This may include business requirements, project goals, workflows, documents, designs, technical specifications, content, files, examples, references, feedback, and other information needed to understand or deliver the project.

Business and Operational Information

For some projects, we may need to understand how your business works. This may include information about your internal processes, team structure, customer journey, sales process, reporting needs, tools, systems, or operational challenges.

Technical Information

This may include website access, hosting details, platform information, API documentation, database structure, software requirements, system logs, bug reports, integration details, and other technical information required for development or support.

Website Usage Information

03 How We Use Information

We use collected information for practical business purposes, including:

  • Preparing project estimates, proposals, scopes of work, and recommendations.
  • Designing, developing, testing, and delivering agreed services.

We do not use confidential client information for marketing, public case studies, training material, portfolio content, or social media posts without permission.

04 Client Project Data

During a project, clients may share sensitive business information with us. This can include internal documents, customer data, employee data, financial information, workflows, reports, software access, credentials, databases, business logic, product ideas, or confidential plans. We treat project data as confidential and use it only for the purpose of delivering the agreed work.

We do not claim ownership of client data, client content, business information, or project materials provided by the client. Unless otherwise agreed in writing, all client-provided information remains the property of the client.

05 Confidentiality and NDA Protection

We understand that many projects involve private ideas, business plans, product concepts, internal systems, or sensitive operational information.

Where requested or appropriate, we are open to signing a Non-Disclosure Agreement before receiving confidential project details. If an NDA is signed, we follow the confidentiality obligations agreed in that document.

Even where a separate NDA is not signed, we still treat client information with care and do not disclose private project details without permission.

If there is any conflict between this Privacy Policy and a signed NDA or written agreement, the signed agreement will normally apply to that specific project.

06 How We Handle NDA Obligations

When an NDA is in place, we aim to follow it seriously and practically. This means:

  • We limit access to confidential information to people who need it for the project.
  • We do not discuss confidential project details outside the working team.
  • We do not publish or share project information without approval.
  • We do not use confidential information for personal benefit or unrelated business purposes.
  • We continue to respect confidentiality after the project ends, according to the agreed NDA terms.

Clients should clearly mark or identify highly sensitive information where possible, so it can be handled with the right level of care.

07 Access to Client Systems and Credentials

Some projects may require access to websites, hosting accounts, CRMs, databases, APIs, analytics tools, payment systems, or other business platforms.

When access is required, we recommend that clients provide limited access wherever possible instead of sharing full owner-level access. Clients should also remove or update access after the project is completed, unless ongoing support has been agreed.

We advise clients not to share passwords through unsafe channels. Where possible, access should be provided through secure methods such as user invitations, role-based permissions, password managers, or temporary credentials.

We are not responsible for unauthorized access caused by weak passwords, reused passwords, compromised client accounts, or access shared outside our control.

08 Data Security

We take reasonable steps to protect information shared with us. These steps may include access control, limited internal sharing, secure accounts, careful file handling, and responsible communication practices.

However, no method of online communication, file storage, website hosting, or digital transmission is completely secure. For that reason, we cannot guarantee absolute security, but we do aim to handle information responsibly and reduce unnecessary risk.

Clients are also responsible for protecting their own accounts, systems, passwords, user permissions, and internal data access.

09 Use of Third-Party Tools and Services

To deliver projects, we may use trusted third-party tools and platforms. These may include hosting providers, email tools, project management tools, design tools, development platforms, analytics tools, communication tools, payment platforms, cloud services, or software libraries. We only use third-party tools where they are reasonably needed for communication, development, delivery, support, or website operation.

When third-party tools are used, their own privacy policies and security practices may also apply. We are not responsible for the privacy practices of third-party platforms that are not owned or controlled by Socialist Fox.

10 Use of AI Tools

Because Socialist Fox works with AI solutions and automation, some projects may involve AI tools, AI models, automation systems, or AI-assisted workflows.

We do not intentionally place confidential client data into public AI tools unless it is necessary for the project and the client has approved it, or unless the data has been prepared in a way that reduces confidentiality risk.

For AI-related projects, we may discuss the safest practical approach for handling data, including whether to use dummy data, sample data, anonymized data, private tools, or client-approved systems.

11 Data Sharing Policy

We do not sell, rent, or trade client information. We may share limited information only in situations such as:

  • When required to deliver the agreed service.
  • When working with approved team members, developers, designers, consultants, or service providers involved in the project.
  • When the client gives permission.
  • When required by law, regulation, court order, or legal process.
  • When necessary to protect our rights, prevent fraud, improve security, or resolve a dispute.

Any sharing is limited to what is reasonably needed for the situation.

12 Public Portfolio, Testimonials, and Case Studies

We do not publish a client's private project details without permission.

If we want to use a project in our portfolio, case studies, testimonials, marketing material, or social media content, we will either ask for permission or use a version that does not reveal confidential business information.

Clients can request that their project not be used publicly.

13 Data Retention

We keep information only for as long as reasonably needed for the purpose it was collected. This may include keeping information for project delivery, ongoing support, business records, legal requirements, accounting, dispute resolution, or future communication with the client.

When information is no longer needed, we may delete, archive, or anonymize it where practical.

Clients may request deletion of certain information, and we will review the request based on the nature of the information, project status, legal requirements, backup limitations, and contractual obligations.

Our services are intended for businesses and professional clients. We do not knowingly collect information from children.
